This policy explains how Office Stock processes personal information when you browse our website, request a quotation, create an account, place an order, contact us, or otherwise deal with us. Office Stock is the responsible party for the processing described here.

1. Personal information we collect

Depending on how you interact with us, we may collect:

• identity and contact details, including your name, business name, email address, telephone number and billing or delivery address;
• order and account details, including products, quotations, invoices, delivery instructions and correspondence;
• payment and transaction details. Card payments are handled by secure payment providers, and we do not ordinarily receive your full card number;
• technical information, including IP address, browser, device, cookie identifiers and activity on our website; and
• any other information you choose to give us, including information in an enquiry, review or support request.

We collect information directly from you, automatically through the website, and where appropriate from payment providers, delivery partners, fraud-prevention services and publicly available business sources.

2. Why we process it

We process personal information only where POPIA and other applicable law permit it, including to:

• prepare quotations, process orders, take payment, arrange delivery, provide support and perform our contract with you;
• verify transactions, prevent fraud, secure accounts and protect our website and business;
• keep tax, accounting, warranty and transaction records and comply with legal duties;
• improve our catalogue, services, website performance and customer experience;
• communicate service messages about an enquiry or order; and
• send direct marketing where you have consented or where another lawful basis applies. Every electronic marketing message will include an opt-out method.

3. Sharing and operators

We do not sell personal information. We may share only what is reasonably necessary with operators and service providers that help us run the store, including BigCommerce, Vercel, payment processors, banks, couriers, installers, email and customer-service providers, professional advisers, analytics services where enabled, and public authorities where required by law. These parties must process information for the authorised purpose and protect it appropriately.

4. Cross-border processing

Some technology providers may process or store information outside South Africa. Where this happens, we use providers and arrangements intended to provide an adequate level of protection as required by POPIA, including appropriate contractual safeguards where necessary.

5. Cookies

Cookies and similar technologies help the website remember your basket and preferences, keep sessions secure, measure performance and, where permitted, understand marketing activity. Essential cookies are required for the store to work. You can control non-essential cookies through any consent tool we provide and through your browser settings. Blocking essential cookies may prevent features such as the basket or checkout from working.

6. Retention and security

We keep personal information only for as long as it is needed for the purpose collected, a legitimate business requirement, or a period required by law. We then securely delete, destroy or de-identify it. We use reasonable technical and organisational safeguards and require relevant providers to do the same. No internet service can guarantee absolute security. If a security compromise creates a notification duty, we will notify the Information Regulator and affected people as required by POPIA.

7. Your rights

Subject to POPIA and PAIA, you may ask whether we hold your personal information, request access to it, ask us to correct or delete inaccurate or unlawfully held information, object to certain processing, withdraw consent, or ask us to stop direct marketing. We may need to verify your identity and may retain information where the law requires it.

8. Children and third-party links

Our store is intended for adults and business purchasers, not children. Third-party websites linked from our site have their own privacy practices, which we do not control.
